5 Easy Hacks to Reduce Printing Costs

While there are a number of ways organizations can reduce printing costs, such as investing in an efficient multifunction printer, switching to a digital document management system, and outsourcing managed print services, if you’re not ready to go that direction, here are 5 easy hacks to save on printing costs today:

  1. Print more on fewer pages. If you only have 4 1/2 pages of text, you still end up using 5 pages of paper. Instead of wasting that half page of paper, you can shrink your copy to fit 4 pages instead of 5. Before printing, select Print Preview to see how your printed document will look. Then shrink it to fit.
  2. Set the default to double-sided printing. Get even more printing per page by setting the default to print on both sides of the paper.
  3. Set the default to Fast Draft printing. The bulk of most people's print jobs can and should be printed in Fast Draft mode. Fast Draft uses significantly less ink and omits images and graphics. It is perfect for documents that need to be edited, or hard copies of things you will quickly dispose of, such as driving directions, addresses, and lists. At the very least, consider setting your default to Black & White.
  4. Cut and paste to one page. If there are disparate sections of a document that you need to print, clip them out and put them into one document.
  5. Switch up your font. The type of font you use impacts printing costs. Using a narrower font like Times New Roman means you will use less paper.
